The Senior Procurement Administrator is responsible for supporting and coordinating the purchasing actives in procuring materials and services for iCIMS. You must ensure high levels of accuracy and high-quality customer experience for internal employees and external vendors. In this role you will be a point of contact for a variety of procurement initiatives that span across the organization. Responsibilities

  • Places and processes orders, tracks order status, and provides follow-up to internal customers and external suppliers.

  • Participates in contract negotiations with suppliers to secure consistent supplies and competitive prices.

  • Proactively identifies and escalates supply constraint, pricing and supplier service issues for resolution

  • Consistently delivers business partner satisfaction and achievement of procurement financial objectives

  • Negotiates favorable contractual terms and conditions for iCIMS with suppliers.

  • Adheres to procurement policy to ensure compliance with internal and regulatory policies.

  • Ensures process documents are complete, current, communicated and stored appropriately

  • Builds strong relationships internally and externally with vendors, fostering collaboration and teamwork.

  • Tracks and reports key functional metrics to reduce expenses and improve effectiveness

  • Collaborates with key persons to ensure the clarity of the specifications and expectations of the company

  • Identifies opportunities and implements actions to achieve efficiencies.

  • Works with the Senior Manager, Procurement to identify and implement new processes to outsource and automate manual functions.

  • Provides reports on procurement metrics and results to department leadership and stakeholders.

  • Supports and coordinates the registration of new suppliers in company systems.

  • Researches new sources of services making recommendations to reduce costs and improve quality.

  • Maintains all required records of sourcing, negotiations and contracts.

  • Serves as super user for procurement systems. Provides training and support to internal customers.

  • Consistently ensures that business is conducted with integrity at all times and that behavior aligns with iCIMS values

Qualifications

  • 5+ years of experience in support of a procurement department required

  • Work independently and as a team member, is highly organized, be goal oriented, and willing to provide high level of customer service.

  • Demonstrated financial acumen and understanding of corporate operations

  • Excellent communication skills, both verbal and written.

  • Results oriented paying close attention to detail

  • Must be able to define problems, collect data, establish facts, and draw valid conclusions.

  • Meet deadlines ensuring that projects are completed to acceptable standards.

  • Must have excellent telephone etiquette, as well as strong written and verbal communication skills.

  • Strong interpersonal skills are required for interaction with internal stakeholders and suppliers.

  • Proven ability to be hands on within a heavy workload environment

Preferred

  • Experience using an electronic signature tool, DocuSign preferred

  • Experience with an ERP system (NetSuite Procurement preferred)
